Our Approach to Communication

At Melbourn Village College, we believe strong communication between school and home supports student success and wellbeing. We aim to communicate openly, clearly and regularly with families. As part of The CAM Academy Trust, we follow professional communication standards and clear expectations around response times.

Communication pathway

Our aim

  • Communicate openly and regularly with families, sharing key information and seeking feedback where possible
  • Regularly update the school website with news and important information
  • Publish curriculum overviews on the school website so families can see what pupils are learning and support learning at home
  • Send weekly newsletters home — with enhanced communication for Year 11 families to support exam preparation and key milestones
  • Inform families when serious behaviour concerns arise and/or when any situation occurs that may affect the health, safety and wellbeing of your child
  • Ask for families’ views through bookable listening sessions with key staff
  • Work collaboratively with our Parent Panel representatives.

Progress reporting

We communicate regularly about student progress through a range of opportunities:

  • Parents’ Evenings where families meet subject teachers to discuss progress and next steps
  • Progress and attendance reports sent home each term
  • Mock examination grades sent home for Key Stage 4
  • A published calendar of reporting and key dates
  • Opportunities to communicate with teaching staff throughout the term via the school office.

These opportunities ensure families remain informed and able to support their child’s learning effectively.

We believe strong partnerships work best when expectations are clear. We ask our families to:

  • Sign up to the MCAS app to stay informed and receive communications
  • Read the school newsletter and letters to stay informed
  • Attend Parents’ Evenings to understand more about their child’s learning and progress
  • Make every effort to attend information evenings and key school events
  • Keep contact details up to date by informing the school office of any changes
  • Discuss concerns affecting learning or wellbeing with the appropriate member of staff
  • Engage with school surveys to help inform decision-making and improve our provision
  • Avoid using social media as a forum for personal complaints — please contact the school directly to resolve concerns.

We also ask that all communication with school staff is polite, respectful and constructive. Sending messages late at night directly to staff can be concerning for staff, particularly if they are unable to respond immediately or seek advice. Strong partnerships are built on mutual respect and understanding.

When emailing staff, please consider timing and tone. Please note:

  • Staff are asked not to read or respond to emails outside normal working hours
  • We aim to respond to emails within 2 working days.

Our school office is the first point of contact for all general enquiries, appointment requests and concerns.

The office team will ensure your query is directed to the appropriate member of staff.

We kindly ask that parents and carers contact the school office rather than contacting teaching staff directly in the first instance, unless advised otherwise. This helps us ensure queries are managed efficiently and responded to appropriately.

A pastoral concern relates to a child’s general wellbeing, friendships, behaviour or emotional support needs, where there is no immediate risk of harm.

This may include:

  • Friendship difficulties
  • Low-level anxiety
  • Behaviour concerns
  • Worries about settling in
  • Attendance concerns
  • Subject option choices
  • Wider support as a family

Contact your child’s Form Tutor in the first instance via the school office. They are able to provide support and advice should it be needed. Any concerns about general progress or pastoral concerns should be discussed with them in the first instance.

If you are concerned about a child’s welfare or safety, please contact our safeguarding team. A safeguarding concern relates to a child’s safety or risk of harm.

A safeguarding concern relates to a child who may be:

  • Experiencing, or at risk of, abuse or neglect
  • At risk of significant harm
  • Experiencing physical, emotional or sexual abuse
  • At risk of exploitation (including criminal or sexual exploitation)
  • At risk of radicalisation
  • At risk due to serious mental health concerns, including self-harm

Contact your child’s Subject Teacher in the first instance via the school office. They are able to provide support and advice should it be needed. They are responsible for delivering the curriculum, assessing progress and providing feedback, and are best placed to provide clarification and agree next steps.

Curriculum overviews for each year group are published on the school website to help families understand what pupils are learning and how learning builds over time.

If queries or concerns you raise are not resolved at this stage, then you should ask for the issue to be referred to the Head of Department.
